For insurance agencies and advisors
Insurance implementation playbook
Designed for agencies and advisor teams that need a consistent first response without automating regulated decisions.
1. Define the agent goal
Start with the workflow.
Configure the agent to answer approved questions from the Knowledge Base, collect the fields below through a form, and choose the correct next step for each request.
Advisor callback requests
Collect the customer's reason, contact details, preferred time, and consent to be contacted through a form.
General coverage questions
Answer only the approved, general information your agency has provided in its Knowledge Base.
Policy and renewal routing
Recognize existing-customer intent and route it to the correct advisor or service queue.
Claims escalation
Collect a safe summary and direct the customer to the agency's approved claims process or live team.
2. Collect the minimum fields
Use a form to capture the need.
- Customer name
- Email or phone
- Service or reason
- Preferred timing
- Location or resource
- Consent to contact when required
3. Choose the next step
Make the handoff explicit.
Configure a form for the customer's reason, contact details, callback preference, and consent. Ringbot can answer general questions from the agency Knowledge Base, then route policy, renewal, or claims requests to the right advisor or service team.
4. Verify before publishing
Test the happy path and the boundary.
- The agent answers approved questions from the Knowledge Base without inventing details.
- The form asks for the required fields and does not over-collect.
- A form submission or link handoff is not described as completed before the configured workflow confirms it.
- Urgent, regulated, or sensitive requests reach the approved human or emergency path.
- Does not provide quotes, premiums, underwriting, eligibility, coverage, or claim decisions.
- Does not claim a policy, payment, claim, or customer record was updated unless the configured workflow confirms it.
- Uses advisor handoff for regulated, customer-specific, or urgent conversations.
