2. Collect the minimum fields

Use a form to capture the need.

  • Customer name
  • Email or phone
  • Service or reason
  • Preferred timing
  • Location or resource
  • Consent to contact when required

3. Choose the next step

Make the handoff explicit.

Knowledge Base answer: respond with approved business information.
Form intake: collect the user's information and needs for team follow-up.
Link handoff: share the configured public booking or application path.
Human handoff: route sensitive or exceptional requests with context.

4. Verify before publishing

Test the happy path and the boundary.

  • The agent answers approved questions from the Knowledge Base without inventing details.
  • The form asks for the required fields and does not over-collect.
  • A form submission or link handoff is not described as completed before the configured workflow confirms it.
  • Urgent, regulated, or sensitive requests reach the approved human or emergency path.
  • Does not diagnose, triage beyond the approved escalation policy, or recommend treatment.
  • Does not claim a patient record, appointment, insurance verification, or form was updated unless the configured workflow confirms it.
  • Sensitive or urgent requests should have a clear live-team or emergency fallback.
